2.0 POWER UP AND INITIALIZATION
lBM3920 Base-
Do we want the handset to beep continuously for a page find?
IBM 3920 Handset:
Plug in the battery on the IBM 3920 Handset. The handset unit will power up and
return to the display standby mode with some default values (Jan 01 Monday
Username 12:00AM) for Calendar, Day, Time and Username as shown below if
the handset has been registered to the base

2.0 Registering the handset to Base
To registerthe handset to the base unit, just put the handset back into the cradle
And the handset will randomly select one of the 65000 security codes and
registered to the base.
How is the handset registered to the base?
3.0 PROGRAM MODE -
There are many user settings that can be programmed into each handset Some
are important and others are less important and are provided for the user so they
can customize their phone as desired.
Programming Notes:
There are many user settings on the phone that can be changed as desired.
1. Program Mode is entered from the standby mode (Time/Date Displayed) by
press and hold the MENU key for over 1 second.
2. During programming if no key is entered within 15 seconds the program mode
will be exited and the Time/Date (Standby mode) screen will be displayed.
3. During programming if a change was made and the CONFIRM IOK key was not
pressed, the change will not be accepted.
4. After the programming confirmation (OK), the [61/[17] keys can be used to go to
another programmable user setting (within 15 seconds)
5. Press the [01/[15] key to select setting you want to change. The order of the
user settings when pressing the UP arrow key [ o ] will be as follows.

3.1 Handset Username Programming
Each handset can have a unique username.
1. To program the username. press and hold [Menu] key .

7. Press [0k] key to store the Extension Username and go back to previous menu
selection.
8. Press [Exit] key to exit programming mode and return to previous screen.
3.2 Line Ring OnIOff Programming
Default configuration is the CO line will ring at low level.
1 To program the CO Line Ringer On/Off, press and hold [Menu] key, then press
[up]/[down] key until the [Ringer LEVEL] option is highlighted. The LCD will
display as follow.

3.3 Ringer Tone Programming
4 different ringer tones (sounds) may be selected. (1—4 tones). Default is ringer
tone1. Once the tone is selected, this ring tone will be heard on the ringing lines.

selection 1 to 4 different tones.

again. As the tones are switched the phone will ring the tone displayed.

3.4 Time and Date
The standby (Time/Date) display shows the Month, Date, Day, and Time. For
users without Caller ID this needs to be fully programmable. For users with Caller
lD, the incoming Caller ID will update the Time and Date, but the Day (Monday,
Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday) needs to be
programmed. Default is Jan 01 Monday, Username 12:00AM
1. To program the time and date, press and hold [Menu] key , then press
[Up]/[Down] until the [Time and Date] option is highlighted. The LCD will display as
follow.

3. The Character "Jan" in line 3 is flashing and the user can press [up]/[down] to

3.5 Area Code Programming (One Home area code and 7 local area codes)
Home and Local Area Codes need to be programmed for Caller lD Dialback to
work correctly, The Local Area Codes are provided for areas with 10-digit dialing
where multiple area codes are used to service the calling area. One Home Area
Code can be programmed and up to 7 local area codes can be programmed if
needed.
To Program the Home Area Code:

3.6 Multi-Language Programming (English, Spanish or French)
1. To change the multi—Ianguage settings, press and hold [Menu] key , then press
[Up]/[Down] until the [Language] option is highlighted. The LCD will display as
follow. The default is English.

3.7 Key Beeps Enable and Disable
1. Press and hold [Menu] key , then press [OK] to select [Handset settings], press
[Up]/[Down] until the [Key Beeps] option is highlighted. The LCD will display as
follow. The default is enable.

3.8 FLASH Time Programming
The Flash time duration can be programmed from 100ms up to 700ms if needed to
adjust to different phone company operating systems. Default Flash time is 0.6
second.
To program the Flash time duration, press and hold [Menu] key , then press
[Up]/[Down] until the [Flash Time] option is highlighted. The LCD will display as
follow.

3.9 Pause Time Programming

3.10 Tone/Pulse Mode Programming
The dialing mode can be programmed to be Tone or Pulse dialing. The default
dialing models DTMF Tone mode.
1. To program the Tone/Pulse mode, press and hold [Menu] key , then press
[Up]/[Down] until the [Tone/Pulse Mode] option is highlighted.

4. CALLER ID OPERATION
4.1 Receiving Caller ID Calls from One Line
The user will need to subscribe to the Caller ID service from their local telephone
company The IBM 3920 System will support Caller ID Type 1 on-hook Single and
Multiple Message Formats, and will also support Visual Message Waiting
Indication (VMWI) with Type 2 call waiting.
1.When a Caller ID call is received, the LCD will show the name and number ofthe
incoming call, and the date and time the call is received. Some telephone
companies send both the name and the number of the caller. Others may provide
just the number of the calling party,

Notes:
1. Local Area Code doesn’t effect the displayed number. It’s only used during Caller ID Dial Back.
The other display messages are:

2. After a new call is received, the CID New Call screen is displayed when:
The Caller hangs up and ringing stops.
An extension telephone answers the call
You answer the call and hang up.
You perform anothertelephone function
3. When new call is received or ifthere are any new calls in memory, the New Call
LED will be flashing to indicate the New Call status. After all new call are reviewed
the New Call LED will turn Off.
4. The New Call LED will be flashing at 0.13 on and 13 off whereas if there is only
VMWI available, the flash rate is 1 second on and 1 second off. If both new call and
VMWI are present, VMWI takes precedent over the new call flash rate
4.15 Name matching with Caller ID
If a caller ID call is received and the number matched a number in the phone book
the name stored in the phone book will be displayed as the Caller lD name.
Note: Careful attention needs to be paid because numbers are stored and dialed
differently according to how the area codes are setup.

4.2 Caller ID Review Mode - New Call Review
Up to 99 Caller ID Calls can be stored in the handset. If more than 99 calls are
received, the oldest calls are deleted to maintain a total of 99 calls.
1.This list can be reviewed in the on-hook or off—hook mode. So if the user is
engaged in a phone conversation they can still review Caller ID calls and possibly
look for a phone number to give to the person that they are speaking to.

4.3 Deleting Single Caller ID Records
1. To delete a Caller ID call, press [CID] and then [up]/[down] to scroll the CID
data base between calls to find the particular record to be deleted.

4.5 Caller ID Dialback
One (1) HOME and Seven (7) Local area codes can be programmed in the user
settings. In many cases only the home Area Code will be needed. However in
areas with 10-digit dialing, one or more local area codes may be needed to dial the
received number back correctly.
Home Area Code Match - Received 10 digit numbers matching the Home area
code should display as 7-digit numbers with the area code “stripped” for correct
dialback. During dialback only the 7—digit number will be dialed. 555-1212
Local Area Code Match - Received 10 digit numbers matching the Local area
codes should display as 10-digit numbers. During dialback the “1” should NOT be
added to the number. This is called 10—digit dialing. 714—555-1212
Home Area & Local Area Code No Match — Received (10 digit) numbers that don’t
match any of the Home or Local Area Codes should be displayed as 10 digit
numbers and dialed back as 11 digit number by adding the “1” prefix to the number.

Edit Feature: In addition to Home and Local Area Codes, there is another way to
modify the number to be dialed. When the number is displayed and the [Call] key is
pressed, the display will show the number on the top LCD line and "Dial Number?”
on the bottom LCD line, At this time the [Edit] key can be pressed to change the
number from 7 to 10 to 11 digits as shown in the example below.
