This user guide covers the following topics:

1 Overview

Huawei IdeaHub integrates the HUAWEI CLOUD Meeting service, offering meeting, whiteboard, projection, bulletin board, and application functions. It is designed to provide a smooth meeting experience and enable efficient, convenient communication and collaboration for enterprises.

GUI Description

The IdeaHub's graphical user interface (GUI) includes:

  • Meeting controls
  • Projection code display
  • Whiteboard access
  • Connect/Pairing options
  • Help and Settings access
  • Power button

Five Scenarios

Huawei IdeaHub supports the following core functions:

  • Meeting
  • Whiteboard
  • Projection
  • Bulletin Board
  • Application functions

Users can utilize the whiteboard and projection features at any time. For bulletin board content or application additions, contact the enterprise administrator.

2 Activation

The HUAWEI CLOUD Meeting service requires activation using an activation code. Activation can be performed upon the first power-on or later via the Settings menu.

Activation upon First Power-on

Follow these steps for activation during the initial setup:

  1. Touch the screen on the welcome screen to access the language setting.
  2. Select a language and touch "Next" ➡️.
  3. Select a time zone and touch "Next" ➡️.
  4. Configure the network and touch "Next" ➡️.
  5. Enter the activation code and touch "Activate" ✅.

Contact your enterprise administrator to obtain an activation code for your IdeaHub.

The activation code is a 24-digit code. Activating the device implies agreement to the HUAWEI CLOUD Meeting Privacy Statement.

Software Download

After successful activation, a software download screen appears. You can download the HUAWEI CLOUD Meeting client on your PC or mobile phone for content sharing. Touch "Next" ➡️ and then "OK" to complete the configuration.

Activation Through the Settings Menu

If activation was not completed during the first power-on, you can activate the device through the Settings menu:

  1. On the home screen, touch "Activate" in the "Not activated" dialog box.
  2. Alternatively, navigate to Settings ⚙️ > Advanced > Registration.

Contact your enterprise administrator to add an activation code for your IdeaHub.

3 Creating a Meeting

To initiate an instant meeting, touch "Create Meeting" on the main interface.

After a meeting is created, you can share meeting information with others.

4 Joining a Meeting

You can join a meeting by entering the meeting ID or scanning a QR code.

Using the Meeting ID

Enter the meeting ID on the interface to join a meeting.

Scanning the QR Code

Use a mobile phone with the HUAWEI CLOUD Meeting app to scan the QR code displayed on the IdeaHub to join a meeting.

  1. Open the HUAWEI CLOUD Meeting app and scan the QR code on the IdeaHub to pair your phone.
  2. Select a meeting from the list on the mobile app and touch "Join" to connect to the IdeaHub meeting.

5 Hosting a Meeting

This section details meeting control operations available to hosts and guests.

Disabling the Microphone or Camera

The host can disable their own microphone ?, speaker, or camera ?, or mute all guests. A guest can disable their own microphone ?, speaker, or camera ?.

Inviting a Participant

The host can invite other users to the meeting.

Viewing the Participant List

All participants can view the participant list.

Sharing a Whiteboard or Screen

  • All participants can share a whiteboard in a meeting. Refer to "Whiteboard Operations" for details.
  • If a participant projects a screen to the IdeaHub using the HUAWEI CLOUD Meeting client, they can also share the screen with other participants. Refer to "Wireless Projection" for details.

Relinquishing or Applying the Host Role

The host can relinquish the host role. If no host is present, a guest can apply to be the host, provided they have the host password.

Switching Video Layouts

The host or a guest can select a video layout, including gallery, presenter, and PiP (Picture-in-Picture) layout.

Requesting the Floor

A guest can request the floor to speak. After being allowed by the host, other participants will be automatically muted.

Extending the Meeting

The host has the ability to extend the meeting duration.

Locking the Meeting

The host can lock the meeting. Users can only join a locked meeting if they are invited by the host.

6 Whiteboard Collaboration

The built-in whiteboard of the IdeaHub supports collaboration between local and remote participants. Meeting minutes can be saved, or whiteboard files can be opened by scanning QR codes with mobile phones.

Whiteboard Operations

  • Eraser: Select "Erase" or "Clear".
  • Drag-select: Circle an area to select all content within it. This allows moving, deleting, and zooming in or out on the selected area.
  • Zoom: Drag, move, and zoom in or out on the canvas using fingers. A touch gesture can disable the zoom function, changing the icon. Two people can write on the whiteboard simultaneously. Touching again enables the zoom function.
  • Setting: Allows setting the background color of the whiteboard.

Saving the Whiteboard Drawings

Touch "Save" in the lower left corner to save whiteboard drawings via QR code, email, or locally.

  • Scanning the QR code: Use the HUAWEI CLOUD Meeting app to scan the QR code to save whiteboard drawings.
  • Sending an email: Send whiteboard drawings by email. The sender email address must be configured in Settings ⚙️ > Advanced > Mail.
  • Saving whiteboard drawings locally: Save drawings directly on the IdeaHub. This can be enabled or disabled via Settings ⚙️ > Advanced > Whiteboard Local Storage. When enabled, whiteboard drawings and annotations can be saved to a local folder on the IdeaHub.

Viewing and Opening a Whiteboard File

  • Viewing whiteboard minutes on the HUAWEI CLOUD Meeting client: Log in to the HUAWEI CLOUD Meeting client and navigate to eMeetings > Whiteboard minutes.
  • Scanning the QR code on the IdeaHub to open a saved whiteboard file:
    1. Touch "Open" in the lower left corner of the whiteboard and select the "QR Code" tab.
    2. Log in to the HUAWEI CLOUD Meeting app on your mobile phone, touch the "+" icon ➕ in the upper right corner, and select "Scan" to scan the QR code on the IdeaHub.
    3. Select the desired whiteboard file to open it on the IdeaHub.

7 Projection

Wireless Projection

Enter the projection code on the HUAWEI CLOUD Meeting client to project a screen to the IdeaHub.

NOTE: Ensure the client and IdeaHub are connected to the same public network.

  • If the client and IdeaHub are in the same network segment (same LAN), use an eight-digit number for the projection code. This is true when the first bytes of their IPv4 addresses are the same.
  • If the client and IdeaHub are in different network segments (same LAN), use an eight-letter string for the projection code.

Projection from a PC

Log in to the HUAWEI CLOUD Meeting PC client, click the appropriate icon (e.g., a share or connect icon), and enter the projection code displayed on the IdeaHub.

Projection from a Mobile Phone

Log in to the HUAWEI CLOUD Meeting app, touch the "+" icon ➕ in the upper right corner, select "Wireless projection," and enter the projection code displayed on the IdeaHub.

Projection Annotation and Reverse Control

After successful projection, "Annotation" and "Reverse Control" buttons appear at the bottom of the IdeaHub screen.

  • Annotation: Touch this button to take a screenshot of the projection screen. The screenshot opens on the whiteboard, allowing for annotations.
  • Reverse Control: Touch this button to control the PC desktop. Touch it again to disable reverse control.

NOTE: Reverse control is not available for projection from mobile phones.

Application Scenarios

8 IdeaHub Settings

Registration Settings

You can activate or unbind the IdeaHub by navigating to Settings ⚙️ > Advanced > Registration.

Sender Email Settings

Configure the email address from which whiteboard files are sent by going to Settings ⚙️ > Advanced > Mail.

Saving Whiteboard Drawings Locally

You can enable or disable "Whiteboard Local Storage" via Settings ⚙️ > Advanced > Whiteboard Local Storage. When enabled, whiteboard drawings and annotations can be saved to a local folder on the IdeaHub.
