Domino Everyplace Enterprise User’s Guide
The Domino Everyplace Enterprise User’s Guide tells you how to install
Mobile Notes, how to configure Mobile Notes for the Domino
Everyplace Enterprise server, how to connect to a server with sync
router, and how to synchronize your mobile applications.
Audience
This guide is intended for handheld device users who want to run
mobile applications using Mobile Notes and who want to synchronize
their application data with the Domino Everyplace Enterprise server.
Users should be familiar with the features and functions of their
handheld devices.

What is the Domino Everyplace Enterprise?
The Domino Everyplace Enterprise is a set of products that provides the
tools to develop mobile applications, to administer applications to users, to
run mobile applications on handheld devices, and to synchronize mobile
applications. The Domino Everyplace Enterprise consists of three
components:
•

The Domino Everyplace Enterprise Mobile Application Designer

•

The Domino Everyplace Enterprise server

•

The Mobile Notes client

Domino Everyplace Enterprise Mobile Application Designer
The Domino Everyplace Enterprise Mobile Application Designer is a
development tool builds the framework of a Mobile Notes application
created in Domino Designer. From here the application developer can
specify Domino forms and views for the mobile application, to test the
application on a handheld device or emulator, and publish the application
to a Domino Everyplace Enterprise Administration database on a Domino
Everyplace Enterprise server. For more information about the Mobile
Application Designer, see the Domino Everyplace Enterprise Mobile
Application Developer’s Guide.
Domino Everyplace Enterprise Server
The Domino Everyplace Enterprise Server is a server add-in task that
provides synchronization services for Domino servers. Domino Everyplace

Enterprise Server includes the Domino Everyplace Enterprise
Administration database for administering mobile applications to users.
Mobile Notes users connect to the Domino Everyplace Enterprise server to
load and to synchronize their mobile applications. For more information
about the Domino Everyplace Enterprise server, see the Domino Everyplace
Enterprise Server Administrator’s Guide.
Mobile Notes
The Mobile Notes client provides the Lotus Notes functionality for your
handheld device. With Mobile Notes, you can create, modify, and delete
documents from your mobile applications. When you connect your
handheld device to the Domino Everyplace Enterprise server, you can
synchronize your mobile application from the Mobile Notes interface. The
Domino Everyplace Enterprise User’s Guide tells you how to use Mobile Notes,
but does not tell you how to use your mobile applications. See your
administrator and application developer for help using a mobile
application.

Procedural overview
To use mobile applications, you must install Mobile Notes on the handheld
device and connect to a Domino Everyplace Enterprise server. Like the
Lotus Notes client that runs Notes applications on your PC, the Mobile
Notes client runs mobile applications on your handheld device. Mobile
applications that you load on your handheld device are stored within the
Notes application on the Domino server in XML format. After you enter
data into your mobile applications, you can synchronize the handheld
device with the Domino Everyplace Enterprise server.
The following procedure outlines the setup for using Mobile Notes. Each
procedure is covered in detail in this user’s guide.
1. Install the Mobile Notes files on your PC, then synchronize your
handheld device with the PC to install Mobile Notes on the device.
2. Configure the server preferences within the Mobile Notes client for the
Domino Everyplace Enterprise server.
3. Connect the handheld device to the Domino Everyplace Enterprise
server to load mobile applications.
Note This guide describes how to connect your handheld device using
sync router (Palm only). It also lists other supported connection types.

4. Load your mobile applications on your handheld device. After you load
them, you can begin using the applications. When you want to transfer
mobile application data to or from the Domino Everyplace Enterprise
server, synchronize your handheld device with the server again.
5. Synchronize any subsequent mobile applications with the server.

Installing Mobile Notes on a handheld device
To install Mobile Notes on the handheld device, you must first install the
Mobile Notes files on a PC, then synchronize the handheld device with the
PC. Mobile Notes and the other Domino Everyplace Enterprise server
components are all contained on the Domino Everyplace Enterprise CD. A
single installation program allows you to choose which components to
install, as shown in the following table.

The procedure below tells you how to install Mobile Notes. Optionally, you
can install sync router and the Mobile Application Designer at the same
time. Note that your administrator will use the Server option at another
time to install the Domino Everyplace Enterprise server.
Before you begin
You must have the following software installed on your PC:
•

Palm Desktop (for Palm users only)

•

Microsoft(R) ActiveSync (R) (for PocketPC users only)

•

PC Suite for Nokia 9210 Communicator (Nokia 9210 users only)

To install Mobile Notes
1. Close Lotus Notes and Domino Designer.
2. Place the Domino Everyplace Enterprise CD in the CD-ROM drive. The
installation program launches automatically.
3. (Optional) Domino Everyplace Enterprise can detect previously
installed versions of itself.
•

If the installation prompts you to modify the current installation,
select Remove, then click Next.

•

In the Confirm File Deletion dialog box, click Yes, and then click
Finish.

Note To continue installation after you uninstall Domino Everyplace
Enterprise, you must manually launch SETUP.EXE. Open Windows
Explorer, then navigate to the Setup directory on the CD-ROM drive.
Double-click SETUP.EXE.
4. Follow the InstallShield prompts in this way:
•

In the “Setup Type” panel, the Desktop, Device, and Sync router
options are selected by default. If you do not want to install the
Mobile Application Designer or sync router, deselect those options.

•

If you install the desktop option, make sure to install the software in
the Notes directory.

5. Select the appropriate device as prompted.
6. For PocketPC, make sure the device is seated in its cradle.
7. For Nokia 9210, mMake sure the active communications icons appear at
the bottom of your screen.
8. Complete the information in the product registration wizard.
Install MobileNotes on your Palm device
1. Connect your handheld device with the PC.
2. Synchronize your handheld device with the PC.
3. Select the m-Notes on the Palm.
4. Go to “Configuring Mobile Notes for the Domino Everyplace Enterprise
serverH_TO_CONFIGURE_MOBILE_NOTES_STEPS.”
Install MobileNotes on your PocketPC device
ActiveSync automatically runs if the PocketPC device is seated in its cradle.
Install Mobile Notes on your Nokia 9210
PC Suite automatically copies Mobile Notes to your Nokia 9210 if it is
connected to the installation PC with its serial cable.

Configuring Mobile Notes for the Domino Everyplace Enterprise server
Before you can install mobile applications on your handheld device, you
must first configure Mobile Notes to connect with the Domino Everyplace
Enterprise server that has access to the mobile applications.
Before you begin
You must know the following information:
•

Your user name or short name and Internet password as it appears
in your Person document in the Domino Directory.

•

The TCP/IP address of the Domino Everyplace Enterprise server
that has access to the mobile applications. Note that you cannot
enter the host name (for example, http://www.lotus.com) of the
server in the IP field.

To configure Mobile Notes
1. On the handheld device, open Mobile Notes.
•

On the Palm, click the m-Notes icon. In the Mobile Notes
workspace, click the Lotus icon to open the menu bar and choose
Preferences.

•

On the PocketPC, select Programs - Mobile Notes. Enter the User
name and password. In the Mobile Notes workspace, select File Sync, select File - Comm Preferences.

•

On the Nokia 9210, press Extras and select Mobile Notes. Press
Menu and select “Server preferences.”

2. Complete the Server Preference fields as prompted.
3. For PocketPC only, you are prompted for the username and password
when you first start.

By default, this is the unique ID of the handheld device.

Enter your user name or short name. The maximum number
of characters is 63.

In the password field, or at the Palm’s “Enter Password”

Note If you do not enter a password, Mobile Notes will
prompt you for one before each synchronization. If you enter
an empty string as a password, you will delete any
previously stored password.

Check to request a server encryption key. The key encrypts
all synchronized messages between the handheld device and
the server and protects your password.

4. Select the Enable and “Get New Key” transportation encryption options
to request a server encryption key. The key encrypts all synchronized
messages between the handheld device and the server and protects
your password.
Note Mobile Notes queues the request until your next synchronization
with the server. Because the key is not encrypted, synchronize only
within a secure network, such as within your company’s intranet. After
receiving an encryption key, the “Get New Key” option is disabled
because the key is stored on the handheld device. If you change your
Internet password in your Person document, you must request a new
encryption key by selecting the “Get New Key” option. You can request
a new key from the server at any time.
5. Click OK to save your Server Preferences.
6. (Optional) For Palm devices, go to Using sync router to connect to a
Domino Everyplace Enterprise server.
To configure your time zone setting (for Palm only)
You can set Mobile Notes to use your local time for date/time fields. With
Greenwich mean time as your base, add or subtract 60 minutes for every
hour that you are ahead or behind Greenwich mean time. For instance, the
default time setting is -300 minutes for Eastern Standard Time, which is five
hours behind Greenwich mean time. If you are five hours ahead of
Greenwich mean time, then your time zone setting is +300 minutes. Valid
time zone settings fall between -720 and +720 minutes.

1. On the Mobile Notes workspace, click the Lotus icon to open the menu
bar.
2. Choose Options - Locale.
3. In the Time Zone field, enter the number of minutes your time zone is
ahead or behind Greenwich mean time.

Loading mobile applications for Mobile Notes
After you configure your server preferences, you can load mobile
applications on your handheld device.
To load mobile applications on a Palm device
1. Connect the handheld device to a server or client PC that can access the
Domino Everyplace Enterprise server through a secure network
connection.
2. Click the m-Notes icon on your handheld device.
3. In the Mobile Notes workspace, click Sync to retrieve your Active
Applications, list of mobile applications you can access.
4. Once the synchronization is done, click the Lotus icon to open the menu
bar.
5. Choose Preferences - Applications.
6. Select the mobile applications that you want to load, then click OK.
7. Click Sync to load the design of the mobile applications.
8. (Optional) Click Sync again to load documents for the mobile
applications.
Note The mobile applications that you load may or may not contain
documents.
9. (Optional) To launch a mobile application, click the application icon in
the Mobile Notes workspace. After loading the applications, you can
begin using them.
10. Go to “Using sync router to connect to a Domino Everyplace Enterprise
server.”
To load mobile applications on a PocketPC device
1. Connect the handheld device to a server or client PC that can access the
Domino Everyplace Enterprise server through a secure network
connection.
2. Click the Mobile Notes icon on your handheld device.
3. In the Mobile Notes Sync screen, select File - Comm Preferences.
4. Enter the server IP address and port as prompted.

5. Click Connect - Execute to retrieve a list of mobile applications you can
access.
6. Select the applications to be installed.
7. Click Edit - Toggle Sync Mode.
Note “Toggle Sync Mode” enables and disables synchronization. A
symbol is displayed to indicate whether synchronization is enabled or
not. Make sure a two-way arrow is displayed indicating that
synchronization is enabled for that application.
8. Click Connect - Execute to synchronize the design of the mobile
applications.
9. (Optional) Click Connect - Execute again to load documents for the
mobile applications.
Note The mobile applications that you load may or may not contain
documents.
10. (Optional) To launch a mobile application, click the application icon in
the Mobile Notes workspace. After loading the applications, you can
begin using them.
To load mobile applications on a Nokia 9210
1. Connect the handheld device to a server or client PC that can access the
Domino Everyplace Enterprise server through a secure network
connection. Go to “Using sync router to connect to a Domino
Everyplace Enterprise server.”
2. On the Nokia 9210, press Extras and select Mobile Notes.
3. Press Synchronize to retrieve the Synchronization Preferences list,
which is a list of mobile applications you can access.
4. The device will attempt to connect. Check the Sync Router log on the
PC to ensure that activity has occurred. If it is not successful, you will
need to choose Disconnect and then Reconnect. Do not exit from Sync
Router Connect as this will break the connection and synchronization
may cause the device to hang.
Note Before the first synchronization, set up the Server Preferences. If
the IP address is not correct it may cause the device to freeze.
5. Press Close when synchronization is done.
6. Press Menu and select “Synchronization preferences” to display a list of
applications.
7. Select the application to be installed and press Load. You must repeat
this procedure for each application you want to load. Selected
databases are marked with a lightbulb icon when chosen.

8. Press Done to return to the Mobile Notes screen.
9. Press Synchronize to begin synchronization of the application(s) to your
device. Your applications will be listed on the Mobile Notes screen
when they are done.
Note This process may take a few minutes.

Using sync router to connect to a Domino Everyplace Enterprise
server (Palm and Nokia 9210)
Sync router connects your handheld device to the Domino Everyplace
Enterprise server through your PC. To connect the Palm device to the PC,
you will need a cradle with a serial port connection.
If you do not have sync router installed, you can use one of the following
supported connection types:
•

Infrared connection to a modem-capable mobile phone with an
infrared port

•

Analog or wireless modem with specified Internet service provider
(ISP)

•

Network connections for handheld devices

To configure the handheld device for a modem or network connection, refer
to the handheld device documentation.
Before you begin
To use sync router, you must know the following information:
•

The serial port number on your PC (that is, COM1 or COM2)

•

The baud rate as specified on your handheld device

You may want to configure your handheld device network preferences to
prevent the device from shutting off automatically after synchronizing with
Sync router. Because the network connection is lost when you restart the
device, the device will attempt to reconnect. However, if a network error
occurs while trying to reconnect, then you must perform a soft reset of the
device. Refer to your handheld device documentation for instructions on
how to configure your network preferences.
To run Sync router on a Palm
1. On the Palm, select Preferences - Connection - Cradle/Cable. Check
that the “Connect to:” field is set to PC.
2. Click Details and make sure the Speed setting is the same as the baud
rate you set on the PC. Click OK. Click OK again to get back to the main
Preferences screen.

3. At the top right of the Preferences screen, click the down arrow and
select Network to display the Network Preferences screen. Make sure
the Connection is set to Cradle/Cable. The Service choice does not
matter.
4. Place the handheld device in its cradle.
5. (Optional) If you are running HotSync Manager, you must disable it.
Sync router and HotSync Manager share the same COM port which
causes conflicts. Right-click the HotSync icon in the system tray, then
choose Exit from the pop-up menu.
6. On the PC, select Start - Programs - Lotus Applications - Sync router.
7. In the sync router dialog box, enter the PC’s serial port number and the
device’s baud rate.
8. Click Connect.
Note If you cannot connect the handheld device with the server, click
Details in the sync router dialog box. A window in the dialog box
displays the connection log errors and warnings.
9. Continue by following the procedures in either one of these topics:
•

Go to “Loading mobile applications for Mobile Notes.”

•

Go to “Synchronizing mobile applications with the Domino
Everyplace Enterprise server.”

To run Sync router on a Nokia 9210
1. Connect the Nokia 9210 to the PC
2. If you are running Nokia 9210 Communicator or CopyAnywhere, you
must disable them. Sync router shares the same COM port, which
causes conflicts. Right-click the Nokia 9210 Communicator or
CopyAnywhere icons respectively in the system tray on the PC, then
choose Close from the pop-up menu.
3. On the PC, select Start - Programs - Lotus Applications - Sync router.
Note Make sure that the communications port is free of other
programs or Sync router will not work.
4. Select the Comm port the Nokia 9210 cable is connected to and set the
baud rate to 115200.
5. Click Connect.

6. Click Details to display the log to ensure that Sync Router is waiting for
a connection and negotiating with the hardware.
7. Continue by following the procedures in either one of these topics:

Synchronizing mobile applications with the Domino Everyplace
Enterprise server
Once you connect the handheld device to the Domino Everyplace
Enterprise server, you can synchronize your mobile applications. Each
mobile applications will have at least one filter document that you can use
to reduce the number of documents and the amount of data synchronized
with the server. Filter documents enable you to determine which
documents to transfer and receive from the server and which documents to
remove from your device to free your device memory. Server
administrators determine whether or not users can edit filter documents.
Synchronizing mobile applications on a Palm device
1. Click the m-Notes icon on your handheld device.
2. In the Mobile Notes workspace, click the Lotus icon to open the menu
bar.
3. Choose Preferences - Applications.
4. Select the mobile applications to synchronize.
5. Choose Preferences - Synchronization.
6. (Optional) Click the filter icon beside the mobile application that you
want to synchronize. The filter icon looks like a tool.
7. (Optional) On the Basics tab of the filter document, complete the fields.
See Filter fields for more information.
8. (Optional) On the Truncation tab, complete the fields.
See Truncation fields for more information.
9. (Optional) Click the Formula tab. If the mobile application designer has
included any fields on this tab, complete the fields.
10. Click OK to save the filter document.
11. Click Sync.
You can change the preferences as needed before each synchronization.

Synchronizing mobile applications on a PocketPC device
1. Connect the handheld device to a server or client PC that can access the
Domino Everyplace Enterprise server through a secure network
connection.
2. Click the Mobile Notes icon on your handheld device.
3. In the Mobile Notes workspace, select the application database. Tap
and hold the application database and click Fitter Form.
4. (Optional) Make the desired changes to the Filter and Truncation fields.
These settings take effect the next time you synchronize. See “Filter
Fields” and “Truncation Fields” for more information.
5. Click File - Sync to return to the Mobile Notes Sync screen.
6. Click Connect - Execute to synchronize.
Synchronizing mobile applications on a Nokia 9210
1. Connect the handheld device to a server or client PC that can access the
Domino Everyplace Enterprise server through a secure network
connection.
2. Press Extras and select Mobile Notes.
3. To synchronize data for all loaded applications: Press Synchronize.
4. To disable an application from synchronizing data:
Note This does not unload the application from your device.
•

Press Menu and select “Synchronization preferences.”

•

Press “Don’t Sync” and then press Done to return to the Mobile
Notes screen.

•

Press Synchronize.

5. To change the filter information:
•

Press Menu and select “Synchronization preferences.”

•

Press “Filter” and edit the filter and edit the filter and truncation
fields as desired. See “Filter Fields” and “Truncation Fields” for
more information.

•

Press Done to return to the Mobile Notes screen.

•

Press Synchronize.

Filter fields
In this field

Do this

Views

Enter one or more compiled view names from the mobile
application. Mobile Notes synchronizes the documents from
your mobile application with mobile application documents
in this view. This is a required field.

Unread documents
only

If you want to receive only unread documents from the
server, select this option; otherwise, you will receive both
read and unread documents.

Only Docs Since

This field synchronizes documents created or modified after
a specified date. Select one of the following options:
 “No Date” ignores any date and synchronizes all new
and modified documents.

 “Last Sync” synchronizes all documents created or
modified since the last synchronization.

 “Sync Date” synchronizes documents created or
modified on or after the date specified in the Sync Date
field.
Sync Date

If you choose “Sync Date” in the previous field, specify a
date.
Note If you choose “No Date” or “Last Sync” and a date
appears in the Sync Date field, you can remove it.

Maximum Docs

Specify the maximum number of documents that the client
will attempt to retrieve from the server during a single
synchronization session.

Remove documents
before sync

You can remove documents from the handheld device
without deleting the documents from the server. Select one
of the following options:
 “All” removes all documents from the mobile
application on the handheld device before synchronizing
with the server

 “None” does not remove documents from the handheld
device before synchronizing

 “Full” synchronizes whole documents that contain all the
fields specified in the Mobile Fields list of the compiler
document.

 “Summary” synchronizes the document summary, not the
whole document

 “Truncate rich text” reduces the size of a rich text field as
specified in the Truncation size field.
Note If you change your truncation settings, select the All
option for the “Remove documents before sync” field to ensure
that you receive truncated documents.
Truncation size

Specify the maximum size in kilobytes (KB) of a rich text field in
a synchronized document.

Removing Mobile Notes from a handheld device
To remove Mobile Notes, you must delete all Mobile Notes-related files
from the handheld device. Refer to the handheld device documentation for
instructions on how to delete application files from the device.
To remove Mobile Notes from a Palm device
If you want to remove Mobile Notes from a Palm or a Palm-compatible
device, remove the following files:

To remove Mobile Notes from a PocketPC device
1. Select Settings - System.
2. Click on the Remove Programs icon.
3. Select Mobile Notes and click Delete.

To remove Mobile Notes from a Nokia 9210
1. Press Extras and select “Control Panel.”
2. Select Install/Remove.
3. Select “Mobile Notes application” from the list of programs and press
Remove.
4. Press Close.
5. Make sure your device is connected to the PC and the active
communications icons appear at the bottom of your screen.
6. In Windows Explorer on the PC, click Nokia 9210 Communicator and
select System directory. Delete the following files:
•

In the apps directory: delete the Mnotes and Datawriter directories

•

In the Data directory: delete all files with a DSY prefix and all .rsc
files that you created.

Note Be careful to only delete .rsc files you created, as other programs
also generate .rsc files.

Removing mobile applications
You can remove mobile applications at any time.
Removing mobile applications from a Palm device
1. Click the m-Notes icon on the handheld device.
2. In the Mobile Notes workspace, click the Lotus icon to open the menu
bar.
3. Choose Preferences - Applications.
4. Deselect the mobile application that you want to remove.
5. When you are prompted about removing the application, click Yes.
6. Click OK.
Removing mobile applications from a PocketPC device
1. Click the Mobile Notes icon on the handheld device.
2. Tap and hold the stylus on the application database icon.
3. Select Uninstall. This removes all data for the application, but allows
you to reinstall from the server. The application remains in the list of
applications available for synchronization. To permanently remove the
application, select the icon from the workspace, click the File - Database
menu. Use the Delete button to remove the application.

1. Press Extras and select Mobile Notes
2. Press Menu and select “Synchronization preferences.”
3. Select the application to be deleted, and press Unload.
4. Repeat for each application you want to remove and the press Done to
return to the Mobile Notes screen.

Synchronization logs
During synchronization, a status dialog box displays the synchronization
log for your current synchronization session. Palm and PocketPC device
users can copy the synchronization log to the device clipboard. The Domino
Everyplace Enterprise server generates a synchronization log for each
synchronization session and stores the log in a database that the server
administrator can access. If you experience problems with your mobile
applications after synchronizing, ask your server administrator to check the
synchronization log for any errors or warnings that might have occurred.

Note Error 606 may indicate a
network connection error. If you
receive the error while
synchronizing, try connecting
from the device network

while synchronizing.
Note Error 699 may indicate
that the Domino Servlet
Manager running as the Java
Servlet support option in the
Server document is not selected.
