Net Grant Calculator User Guide
This user guide contains a complete description of the tool, each of its functions,
and a list of all the data we with ask for clarifying information and help text.
If you have problems, use the contact us button on our website to ask questions.
This tool is essentially a process mapping tool that allows you to enter time devoted to specific
grantseeking or grantmaking tasks, the team members involved in the process, and the salary for these
team members. This information is then used to calculate the "Net Grant."
If this is your first visit, you will have to follow the steps below. After you visit the first time, skip to pages 3
(for grantseeker instructions) or 5 (for grantmaker instructions).

Once you log in, start at the home page:

Fill in Your Profile





Add your name, your title. These fields are not required.
Choose whether you are a grantmaker or a grantseeker. This is a required question because it
will determine your view of the tool.
You may also provide the name of your organization, it’s location, your EIN, your past year’s
revenue, number of employees, number of grants, and amount of grants. This information is NOT
required, but we appreciate any information you’re willing to provide that will help us aggregate
and report on the time spent by the sector as a whole on grantmaking and grantseeking activities.

Staff Contributors (Edit Team Members)
Next, add any team members that are involved in your grantmaking/grantseeking process. You will need
to add team members in order to use them in your process mapping.

Please add any staff members that are involved in each activity in the grant process - from initial research
to close-out. Include a first name (but not a full name for easy selection and to follow current GDPR
guidance) and a role.
If you do not complete this section, you will not be able to complete, the calculator, as it requires you to
select a staff contributor for each task listed.
We’ve added both Foundation and Nonprofit employees and used 2017 salary survey data as a starting
point. Foundation salary data comes from the Council on Foundations. Nonprofit salary data is derived
from industry averages.
You may add an annual salary amount or, if you don’t know this information or do not want to share it,
you can use the pre-calculated amounts populated by generally accepted salary surveys.
Once you start filling in the calculator, you will be able to choose each team member from a drop-down
list.

From here, the tool is divided into two areas:

For Grantseekers: Apply for a Grant



For Grantmakers: This path includes two sections – one to calculate
approximate Grantseeker cost and one to calculate Grantmaker cost.
o To calculate grantseeker cost, you will be able to use the Template
Wizard to answer three simple questions about the size and type of
grant and a template will be pre-filled with data. You will be able to
change this data if there are certain parts of the template you know
are or are not applicable to your process. This template uses four
common nonprofit positions and average salaries (Executive
Director, Finance Director, Development Director, and Development
Assistant) to calculate the cost of grantseeking for a given type or
size of grant.
o You’ll be able to save this template and modify it for future iterations.
o To calculate grantmaker costs, complete all fields that describe your
process.

Grantseeker Information: Apply for a Grant
Grant Information (Filled out by Grantee)
Fill out the information below to help us understand the type of funding you are seeking and the work that
will be required to go into that grant.
You are required to add the amount requested and the expected likelihood of receiving a grant.
You may also provide the funder name, grant program name, whether you’ve received a grant from this
funder in the past, whether it is a new or renewal grant, whether it was invited or unsolicited proposal,
what type of support you are applying for, the type of application, the length of the grant, number of
questions in the application whether a site visit is required, whether you’ll first complete an LOI, and what
reports are required from the grantmaker.
This additional information is NOT required, but we appreciate any information you’re willing to provide
that will help us aggregate and report on the time spent by the sector as a whole on grantmaking and
